Optimizing Team Time Management across Notes and SharePoint Calendars

Calendar has rapidly become a business-critical application as we all try to manage our time and our life balancing between multiple teams, family and community commitments. Many enterprises are already using SharePoint Team Calendars to manage events such as sales meetings and team calendars. Team collaboration requires team-aware calendaring so your schedule fits with your team’s schedule. This is a key requirement for our Notes-SharePoint customers.

 
With Notes 8.5 iCal support you can add a Google calendar to your Notes calendar. Jonas had posted a nice demo on this blog, showing how you can also aggregate multiple SharePoint calendars into you Notes 8.5 personal calendar.
 
So you get a consolidated view of all your time commitments from all your team calendars within a single calendar. That’s the only way to know what-you-need-to-do-next!
 
With the SharePoint Integrator for Notes 8.5, you can add your marketing team calendar, which resides on a SharePoint Online site, as well as your sales team calendar on your local SharePoint server, into your Notes personal calendar. You can also add and edit SharePoint events directly from Notes using the rich-client interface.
 
But a SharePoint calendar event doesn’t include the ability to manage attendees list; you don’t invite attendees to a SharePoint event, you only post it as you would post a document on SharePoint. So what if you want to invite people and manage the attendee list? This has been raised by a number of our Notes-SharePoint customers.
 
Here is a solution: you can actually import the SharePoint event into your Notes calendar and then add attendees to the newly created Notes appointment.
 
Here is another customer requirement: you want to share with your team your travel schedule as you will be on the road for the next two weeks. Your travel schedule is already on your personal Notes calendar so how about publishing your Notes events, which includes your whereabouts for the next two weeks, onto your SharePoint team calendar? You can actually do that with the SharePoint Integrator for Lotus Notes version 2.0 - exporting a Notes event to one of the SharePoint calendars that you connected to.
