How Notes 8.5 & SharePoint Can Save You Storage Costs

I was talking with an IT executive in charge of collaboration in a Fortune 100 company. Surprise, surprise their main strategic initiative is to reduce IT costs for their 2010 budget so they are agressively rolling out Notes 8.5 to take advantage of the new DAOS technology .

The Domino Attachement and Object Service considerably reduces attachments duplication on a Domino server. Today, when you send a 10M attachment to 1,000 employees in your organization, Exchange or Domino (prior to 8.5) will keep 1,000 copies of the 10M  document in each recipients Inbox. So you just sent an email that costs 10G of storage to your company. That's how email storage costs have been spiralling out of control!

This customer found out that 60% of their mailbox storage is occupied by file attachments and with Domino 8.5 they will save about 30% of that storage. Why only 30% and not the full 60%? Because, DAOS works only within a single Domino server and not accross servers. So, if the same 10M attachment was sent to employees in different locations, on different Domino servers, then the attachment will still be duplicated on each server, and these guys have a couple hundred servers worldwide.

That's where SharePoint Integrator for Lotus Notes comes in. Our new 2.0 version enables the user to automatically upload attachments in a pre-defined SharePoint folder and replaces the physical attachment with links. This works across Domino servers and will enable this customer to save the extra 30% storage!

Obviously, this only works when all the recipients have access to the SharePoint site, so you will still send emails with attachments to these folks and Domino 8.5 will do a great job in this case, keeping a single copy per server.

So the integrated combination of SharePoint and Domino 8.5 enables storage saving across Domino servers, even when not all your recipients have SharePoint acccess.
